Check-ins are completed in four simple steps directly on-site at the partner location:
Arrive at the partner's location (studio or fitness club).
Open the Wellpass app and tap the "Check-in" tab at the bottom.
Select the correct location on the map.
Show your confirmation screen at the reception to enter the studio. π

If you have reserved a spot in a class in advance, follow this procedure:
Arrive at the studio on time.
Navigate to "Sessions" β‘οΈ "My Bookings" in the app.
Select the corresponding class and click on "Check-in."
Show the confirmation screen to the staff on-site. π

To standardize the check-in experience across all regions, physical QR codes are being phased out step by step.
What this means for you: You will no longer need to look for displays or posters on-site to scan a code.
βπ‘ Note: During a transition period, the QR code function will remain available in parallel to guarantee a smooth switch before it is completely removed.
As long as you are still able to scan a QR code, this check-in method remains valid. π
Additionally, depending on the training facility, other check-in options may be used, such as existing access systems of the studio (e.g., wristbands or chip cards).

For the Smart Check-in to work smoothly, the following conditions must be met:
Location Sharing
Allow the Wellpass app access to your location in your smartphone settings (Setting: "While Using the App" or "Always").
π‘ This is the only way the system can verify your presence on-site.
Data privacy and Location processing
Data privacy and Location processing
When you use Smart Check-in, your location is processed exclusively at the time of check-in to verify that you are in close physical proximity to the training facility. This ensures a simple and reliable check-in process and protects against fraudulent check-ins.
Processing is carried out on the basis of legitimate interests (Art. 6 para. 1 lit. f GDPR).
π‘ No further use of this data occurs. Your location is not permanently stored, not logged, and not used to create movement profiles. Continuous tracking does not take place.
You have the right to object to this processing at any time. In this case, you can use alternative check-in methods (e.g., QR code during the transition phase, studio-specific solutions, or check-in via the staff on-site).
π‘ Note on existing location settings:
If you are already using features that display training facilities near you, you may have already granted the Wellpass app access to your location in your device settings.
This setting remains unchanged. When you use Smart Check-in, your location will additionally be used in this context to verify your check-in.
You can adjust or deactivate location sharing at any time via your device settings.

π‘If you are at the correct location but the button is not displayed, this may occasionally be due to an inaccurate map update.

β‘οΈ Solution: In this case, use the QR code symbol (scanner button) on the check-in screen to manually scan the partner's existing QR code as a backup. Should this also not be possible, please contact the staff on-site.

π‘ If an outdoor class is part of an indoor studio, please check in at the studio's physical address first before heading to the meeting point.

β‘οΈ If it is a purely outdoor location, simply check in directly upon arrival at the specified address. π

If the app suggests a nearby studio that you are not visiting, you can decline this suggestion and manually select the correct studio from the list or on the map. π
