How can Wellpass members check in at my gym?

At the start of the partnership, you’ll receive an onboarding email with a printable QR code for check-in. You can use it right away for member check-ins. Additionally, you can order more onboarding materials—such as a physical QR code stand—via the link in the onboarding email.

Place the stand visibly at your front desk. Wellpass members can then easily scan the QR code using the Wellpass app to check in.

The member can check in directly at your location in four simple steps. As soon as your partnership begins, your location will be available in the Wellpass app. This allows members to check in on-site using their smartphone, without the absolute need to scan a code.

  3. The app detects the location, and the member selects your studio on the map.

  4. The check-in must be confirmed once within the app.

How often can members check in at my gym?

Each EGYM Wellpass member can check in at your gym without any general limit and make use of the agreed services.
However, only one check-in per member per day is counted for compensation.

When can I conduct an initial introduction session with a Wellpass member?

During a new Wellpass member’s first visit, a message will appear in the Wellpass app during check-in: “Introductory session required.” You can then conduct an introductory training session with the member.

This session typically includes:

  • Consultation

  • Fitness assessment (strength, endurance, blood pressure, BMI, body fat)

  • Training plan

  • Equipment introduction

  • Follow-up check

💡 If the member already completed an introduction at another partner facility, no second session is required. You can check the receipt from the previous session.
💡 If the member previously had a private membership at your gym, please skip the introduction.

You may charge the member a one-time fee of €44 for this session. EGYM Wellpass is not involved in organizing or covering this cost.

Please make sure to issue a receipt to the member after the session.

How can I check if a member with a paused contract at my gym is still with EGYM Wellpass?

You can request a membership confirmation from the member at regular intervals (typically every 12 months).
The member can request this confirmation themselves via the Wellpass app. It will then be sent to them by email.

💡If the member refuses or is unable to provide the confirmation, you may choose to reactivate the paused contract.

For members who check in regularly, a successful check-in via the Wellpass app also serves as proof of an active membership.

You can also ask to see the welcome email. For Plus1 members, it includes a note stating that a private membership cannot be paused. This note is not included for members registered through their employer.

Can a Wellpass member bring a family member or partner to train for free?

No. Each Wellpass member registered through their employer has the option to invite one additional person through a Plus1 membership. This person receives their own Wellpass membership and can check in independently at your gym using the Wellpass app after registering.
