Registration and deregistration of employees

Here you’ll find all the important information to ensure the registration and deregistration of your employees works smoothly.

How can I register employees?

For new registrations, please forward the company-specific registration link to the interested employees.

💡You can find this link in the onboarding and welcome email we sent at the beginning.

Employees can then register independently via the company-specific registration page for Wellpass. The regular registration deadline is the 20th of the month to activate a membership starting on the 1st of the following month.

Why can’t I, as an employer, register new members?

Neither you as the internal company contact nor EGYM Wellpass can register employees. Each member must register independently via the company-specific registration link using their personal login details (password, email address, and, if applicable, bank details).

How can I deregister members?

As the internal company contact, you can terminate memberships via the company portal until the 25th of the month (see more under Company Portal / Member Management).

The affected member will automatically be informed by EGYM Wellpass via email once their membership has been terminated.

Can members cancel their membership themselves?

Members can cancel their membership themselves by the 15th of the month, effective at the end of that month, via https://egym-wellpass.com/kuendigung/.
The selected cancellation date is automatically saved in the system and displayed in the member management section. The member will immediately receive an automated cancellation confirmation email from EGYM Wellpass.

How can a member reactivate their EGYM Wellpass membership?

If employees have previously had an EGYM Wellpass account or an EGYM ID (e.g., from using EGYM fitness equipment), they must sign in via the company-specific registration page under “Welcome back” and use their existing login credentials to reactivate their previous account.

After logging in via the login button, they can select a new start date and complete a new membership. If the member has forgotten their password, they can reset it using the “Forgot password” option.

If the login is still unsuccessful despite these steps, the member can contact our support via the chatbot.

Can the Wellpass membership be paused?

No, pausing a Wellpass membership is equivalent to cancelling it. We refer to our flexible monthly registration and cancellation deadlines.

Example:
Mr. Müller will be abroad for the entire month of August and therefore cannot use his Wellpass membership during that time. He can cancel his membership by July 15th, effective at the end of the month: http://www.egym-wellpass.com/kuendigung.
He can then re-register by August 20th using the personalized company registration link and his previous login details (email and password) under “Welcome back”, and choose September 1st as the new start date.

Can Wellpass be used during parental leave and after retirement?

In general, eligibility for a Wellpass membership is tied to the member receiving an active monthly salary. Therefore, continuing the membership after retirement is not possible and must be terminated.
Continuing the membership during parental leave is generally allowed. However, for tax-related questions, please consult your tax advisor.
